Off Cycle Policy
In the event employees/student workers receive no pay or only partial pay on their scheduled pay date because they failed to enter time on their time card, the employee must enter the time on the appropriate day(s) and submit their time card to their line manager. The line manager must approve the time card. The work unit HCM specialist must notify Payroll via this online form by the published deadline for off-cycle processing. Time Cards not submitted or approved by the Noon deadline will be processed the next regularly scheduled payroll.
Items typically approved:
• Time cards that were submitted by employee but not approved by the line manager and gross pay amount exceeds $200.00
• More than 25% of salary missing (not a recurring issue) -- not due to an employee submitting time card late
Items typically processed on the next regularly scheduled payroll:
• Time Cards not submitted timely by the employee
• Less than 25% of gross pay missing
• Award Compensation payments, Differentials, Supplements, Additional pays
Late Processing of New Hires and Returns from Leave
Employees/student workers who received no pay because of late processing of a New Hire or return from leave because the actions were submitted after the regular payroll cut-off. The work unit HCM Specialist must ensure the transaction has been entered and approved in Oracle -- AND notify Payroll via this online form -- no later than noon on the Wednesday before the off-cycle payday. If the employee’s/student worker’s next regularly-scheduled pay date is sooner than the next off-cycle Friday, then the requested payment will be added on their scheduled pay date.
Items typically approved for off-cycle payments (assuming one-time issue, and not a recurring pattern by employee, line manager, or HCM specialist):
• Late New Hires
• Returned from unpaid leave
